Privacy Policy

Cognaraz LLC is a Florida limited liability company that provides web design, business automation, artificial intelligence, and analytics services. We are responsible for the personal information described in this policy, except for information we handle on behalf of our clients, which is explained in Information we process for clients.

Information you provide

We collect the information you choose to give us, including when you fill out a form, request a discovery call, email, call, or text us, or sign an agreement with us. This may include:

• Contact details, such as your name, email address, phone number, and business name
• Details about your project, your goals, and the services you are interested in
• The content of your messages and calls with us, including text messages
• Billing and contract information, such as a billing contact, business address, and records of invoices and payments
• Materials and access credentials you provide so we can perform services for you

Information collected automatically

When you visit the Site, our hosting provider automatically receives standard technical information, such as your IP address, browser type, device type, the pages you visit, the referring page, and the date and time of your visit. This information is kept in server logs and used to operate, secure, and troubleshoot the Site.

Cookies

We use cookies and similar technologies only where they are needed for the Site to work, for example to keep you signed in to a client area. We do not use advertising cookies, and we do not currently use third-party analytics on the Site. If that changes, we will update this policy. You can control cookies through your browser settings, although parts of the Site may not work without them.

Information from other sources

We may receive information about you from people who refer you to us, from our clients when you are part of their team, and from publicly available business sources.

We use the information we collect to:

• Respond to your inquiries and schedule and hold discovery calls
• Prepare proposals, Statements of Work, and agreements
• Provide, manage, and support the services you request
• Send invoices, collect payment, and keep business records
• Communicate with you by email, phone, and text message about your inquiry or project
• Send you updates about our services if you have agreed to receive them, with a way to unsubscribe at any time
• Operate, secure, and improve the Site and our services
• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations and enforce our agreements

If you provide your mobile phone number and agree to receive text messages from Cognaraz, we may text you about your inquiry or project, such as replies to your questions, call scheduling and reminders, project updates, and billing notices. You can agree to receive texts by texting us first, by checking a consent box on one of our forms, or by giving us your consent verbally or in writing. Consent to receive text messages is not a condition of purchasing any service.

When you text with us, we collect your mobile phone number, your name if you provide it, the content of your messages, and records of your consent and any opt-out request. We use this information only to communicate with you, to provide our services, and to keep records of your messaging preferences.

We do not sell or rent your mobile phone number. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

• To stop receiving messages, reply STOP to any message. You will receive one confirmation message, and we will not text you again unless you opt back in.

We do not sell your personal information, and we do not share it for targeted advertising. We share information only as described below:

• Service providers. Companies that help us run our business, such as website hosting, email delivery, phone and text messaging, cloud storage and databases, payment processing, accounting, and the software and AI tools we use to deliver our services. They may use the information only to provide services to us and are contractually obligated to keep it secure and confidential.
• Professional advisers. Lawyers, accountants, and insurers, as needed for their professional services to us.
• Legal and safety. When we believe disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of Cognaraz, our clients, or others.
• Business transfers. In connection with a merger, acquisition, reorganization, or sale of all or part of our business, subject to this policy.
• With your consent. When you ask or allow us to share information.

All of the categories above exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.

When a business hires us, we may access or process information about that business’s own customers or users, for example inside a website, CRM, booking system, or automation we build or maintain. We handle that information on our client’s behalf, following their instructions and our agreement with them. The client is responsible for its own privacy practices, including giving notice to and obtaining consent from the people whose information it provides. If you are a customer of one of our clients, please contact that business with any privacy questions or requests.

We ask clients not to send us protected health information, payment card data, government-issued identification numbers, or other information subject to sector-specific regulation unless we have first signed a separate written agreement covering it.

We use reputable third-party software, cloud services, and artificial intelligence tools to deliver our services. We choose tools whose terms do not allow the provider to publish client information or to use it for any purpose other than providing the service to us.

We keep personal information only as long as we need it for the purposes described in this policy. We keep inquiry information for as long as needed to respond and follow up; client, contract, and billing records for the length of our relationship and afterward as required for legal, tax, and accounting purposes; and text messaging consent and opt-out records for as long as needed to honor and demonstrate your choices. When we no longer need information, we delete or de-identify it.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including access controls, encrypted connections, and limiting access to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your information has been compromised, please contact us right away.

• Email. You can unsubscribe from service update emails by using the unsubscribe link or contacting us. We may still send messages about an active inquiry or project.
• Text messages. Reply STOP to any text message to opt out at any time.
• Access, correction, and deletion. You can ask us what personal information we hold about you, and ask us to correct or delete it, subject to exceptions allowed by law, such as records we must keep for tax purposes.

Depending on where you live, you may have additional rights under state privacy laws, such as the right to receive a copy of your information or to appeal a decision about your request. To make a request, email us at zhixian@cognaraz.com. We will verify your request before acting on it, and you may use an authorized agent where the law allows. We will not discriminate against you for exercising your privacy rights.

The Site and our services are intended for adults and businesses and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.

The Site may link to websites and services that we do not control. Their privacy practices are governed by their own policies, and we are not responsible for them.

We are based in the United States and process and store information in the United States. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we make material changes, we will take reasonable steps to let you know, such as posting a notice on the Site.
